The promoter and the owner of the location where the events will take place will not be held responsible for any loss, theft, injury or damage endured during the event. We also reserve the right to make changes to our terms and conditions at any time.

 

In case you are attending one of our events, it is possible that you appear in pictures or videos made by our team or our partners. By attending one of our events, you thus grant us permission to use your image for promotional purposes.

 

1 . PASS & TICKETS

 

Buying a ticket:

• Tickets can be bought online. You will be able to pay via credit card, wire transfer and Paypal. You will have to print this e-ticket or show it on your phone to the Empire Conventions staff when you withdraw your pass on the weekend or the day before the weekend of the event, at the hours preestablished by our organization. 

• For payment installments for the VIP pass and those who allow it, please contact us. No refund will be done if you do not pay for your pass entirely, whatever the reason. If you stop paying in time, the first installments will be lost.

• Any purchase of a pass is final and nominative. No refund will be done and the name cannot be changed. 

• No ticket will be sent by mail.

• If you buy a two-day pass but can be there only one day, please contact us as soon as possible. We’ll try to regroup all your activities during this day. We however cannot be held responsible if that is not possible.

 

Tickets during the event:

• In order to attend one of our events, you have to own a pass, as well as a bracelet that will be given to you by one of our staff members. Without any of those, security or staff members will be allowed to exclude you of the event, without a possibility of a refund.

• You have to have your pass and bracelet during the entire event. The Empire Conventions staff can ask you to present your pass and your bracelet at any time with an ID proof.

• Your pass will be given to you on the day of the event or the day before, if you are able to present an ID with a picture and your e-ticket. Without an ID or e-ticket, the Empire Conventions staff will not be able to give you your pass or your extras.

• Minor attendees (under 18) have to fill a parental authorization, available on our website (it will be the only valid one), as well as a copy of their legal guardian's ID. Without these documents, the access to the event can be refused.

• Attendees under 16 have to be accompanied by a paying adult. The access to the event will be refused if minors under 16 are not accompanied or if the person with them does not own a pass. In this case, no refund will be given.

• Children under 7 can enter the event for free if one of their parents is present but with no guarantee of a seat for them. If the child wishes to attend the activities, he will have to get a ticket for said activity. 

• After this age, the child will have to own a pass. 

• You will be placed by order of purchase in the conference room. If you wish to be placed next to a friend, please get in touch with us about two weeks before the event.

 

2 . EXTRAS

 

• You can only buy extras if you have a pass. The extras for sale are the following: autographs, autograph supports (only available at the location), photo ops, selfie lounge, selfies, party, meeting-rooms and special activities.

• Only official supports (sold by Empire Conventions as well as DVDs, posters or magazines...) can be signed by the guests. They can however refuse to sign a support that does not suit them.

• Pictures taken with the guests will be given to you during the event. An Empire Conventions staff member will make sure you get only yours and not someone else's. Two fans can be on the same picture. You will thus have to buy an extra each to be together on an individual picture. You can however only buy one ticket for “duo” or group pictures. Each additional print will cost you 10 euros more, available at the extras booth. 

• Meeting-rooms are meetings with a small number of attendees: one guest and a handful of fans. 

• If you lose your extra before or during the day, Empire Conventions cannot be held responsible in any way.

 

3 . CONDITIONS FOR A REFUND

 

• It is possible that the event is postponed. If that is the case, your pass and extras will be automatically valid for the new dates chosen by Empire Conventions or the actors’ team. Be careful, if you cannot attend the event, Empire Conventions offers time limit after the closing of the guest list to get a refund or a credit note with a justification that you cannot go to the event. This refund can be asked for but is not guaranteed. After this period, Empire Conventions cannot be held responsible and will not make any refund. Only the total cancelation of the event will lead to the total refund of pass and extras. 

• The location can also be changed. Empire Conventions cannot be held responsible for it. 

• Empire Conventions will only refund tickets if the entire event is cancelled (and only under these conditions).

• If you cannot attend one of our events, neither your pass nor your extras will be refunded.

• Guests can be forced to postpone or cancel their attendance to our events for professional or personal reasons. The guest will be replaced if possible. If that’s the case, extras bought with the cancelled guest will be automatically transferred to his replacement. If no replacement has been found, you will get a credit note valid on the event ticketing.

• The cancellation of a guest does not lead to the refund of a ticket or extras.

• Additional fees (meals, housing, travel...) are entirely at your charge. If the event is cancelled, you will not be able to ask for a refund of these fees to Empire Conventions.

 

4 . DURING THE EVENT

 

• You will be called by the number and category of your pass for your photo ops and autographs. Make sure to listen to the rules given by the staff. Empire Conventions will not be held responsible if you are late for your activities and cannot do them.

• You will be allowed to take pictures of the guests ONLY during the conferences if the actors’ team allows it (it is then forbidden to take any during other activities). Everyone caught not respecting this rule will be asked to leave the event, without any refund of their ticket or extras.

• It is strictly forbidden to record the event in any way, as well as livestream it, for example via Instagram. Anyone caught recording the event will be expelled without any refund of their pass and their extras.

• You can give gifts to the guests, but only during the autograph sessions. Gifts that are considered inappropriate by the guest, their agent or a staff member will be refused.

• Empire Conventions reserves the right to expel you if you insult, defame or attack our team, the actors or other attendees, even before the event. 

• Not respecting any of these rules can lead to you being asked to leave the event without any refund possible. You also can be expelled for any future events, with no refund possible. 

 

5 . RIGHT TO RETRACT

 

• We remind you that events organized at a determined date and/or period as it is the case for Empire Conventions are not subject to the right to retract. Thereby, you can’t benefit from it. 

 

6 . VIRTUAL EVENTS

 

• It is strictly forbidden to record any of the activities.

• If you miss an activity for any reasons, Empire Conventions cannot be held responsible and no refund will be made possible. 

• All autographs are sent in a secured letter and Empire Conventions cannot be held responsible of the state of its arrival. If the autograph doesn’t arrive, no compensation or refund will be possible.

• If a Talent is not available anymore, Empire Conventions will do their best to replace him/her as soon as possible. If that’s not the case, you will get a refund as soon as possible. 

 

7 . FORCE MAJEURE

 

• Empire Conventions cannot see their responsibility engaged if the non execution of one of the obligations described in those Terms and Conditions come from a force majeure event. In this respect, a force majeure event means any external event which is unpredictable and inevitable. An event that the organizer has no control over can be considered as a force majeure: for example, but without limitation, a fire, a storm, an explosion, a flooding or natural catastrophe, a decision taken by the government, a shortage of goods, a strike, a pandemic, the interruption of transportation, an accident or road, rail, maritime or flight incident, or bad weather conditions, exterior demonstrations, failures or delays from one of several providers, telecommunications problems, Internet dysfunction. In this case, the fan will have to pay for the total of the service. The fan can however ask for a credit note valid for 12 months, that he may use on the event of his choice. 

• Only the total cancellation of the event gives the right to ask for a refund. 

 

8 . MISCALLENOUS

 

• The organization cannot be held responsible of the photoshoots result and cannot promise to be able to do them again (for example eyes closed, reflects in glasses or if an actor refuses a certain pose) 

• The schedule can be modified or can be subject to delays or cancellations outside of Empire Conventions will. No refund will be then possible. 

• If Empire Conventions website is not updated or is temporarily available for technical reasons, Empire cannot be held responsible. The organization will do its best to tackle the problem as soon as possible. 

 

In those cases, the fan still owes the total payment of the service.
